Delete your account and data

This page explains how to ask One Swan Software Ltd to delete your Taylormade Care account and the personal data held with it, what is removed, and what we are required to keep.

Who this is for

Taylormade Care accounts are held by childcare providers and their staff — childminders, nurseries, pre-schools and after-school clubs. If you sign in to Taylormade Care, this page is for you.

Are you a parent or carer? The records about your child are entered and controlled by your childcare provider, not by Taylormade Care — we hold them on the provider's behalf. To have your child's data corrected or removed, please contact your childcare setting directly. If you're not sure who to ask, email us at privacy@taylormade-care.co.uk and we'll point you in the right direction.

How to request deletion

  1. Email privacy@taylormade-care.co.uk from the email address registered to your account.
  2. Use the subject line “Delete my account”.
  3. Tell us the name of your setting so we can find the right account.

We may ask a question or two to confirm your identity before we act, so that no one else can request deletion of your data. We'll confirm by email once it's done, and in any case respond within one calendar month.

While signed in you can also remove most content yourself — children, observations, diary entries, documents and other records can be deleted from within the app. Deleting the account itself is done through the request above.

What is deleted

When we delete your account, we remove the personal data we hold for it, including:

  • your account profile and login credentials (name, email, hashed password);
  • the records you entered into your setting — children's profiles, dates of birth, photos, allergies and medical notes, diary entries, observations, attendance, accident and medication records;
  • parent and staff contact details held in your account;
  • files and documents you uploaded (photos, policy PDFs, receipts);
  • any connected Gmail or Outlook authorisation tokens (these are also removed the moment you click “Disconnect” in Settings).

Deleted data is removed from our active systems and then purged from our encrypted backups within 90 days.

What we may keep, and for how long

  • Financial records such as invoices and payment records may be retained where we are legally required to keep them — for example for HMRC / tax purposes — for the statutory retention period, after which they are deleted.
  • Security and audit logs are retained for up to 30 days.
  • We keep no other personal data once the deletion is complete.

We never sell personal data, share it for advertising, or use it to train machine-learning models. The full detail is in our Privacy policy.
