Common questions
How long does setup take?
Sign up, confirm your email, add your business details and your first child — most settings are up and running in under half an hour. Nothing to install or download; you log in through your browser.
Can I add my assistant or colleagues?
Yes. Add staff members from the Staff page with their own login. Managers see everything; staff see the day-to-day records — diary, observations, attendance, medical and accident records — but not contracts, invoices, or sensitive areas like SEND.
Can I email parents from my own address?
Yes. Connect your Gmail or Outlook account in Settings and parent emails go from your real inbox — no clunky "no-reply" address. You can also use any SMTP provider if you'd prefer to keep things separate.
Who owns the data?
You do. Each business's data is isolated from every other; we don't access it for any purpose other than supporting you when you ask.
How do parents access their child's information?
Each parent gets a private magic-link to their child's diary, observations, accident records and policies. They never see other children, and the link is unique to your business.
What happens when a child leaves?
Archive them with one click — the full record stays on file and can be restored later if they come back. Permanent deletion is manager-only and asks you to type the child's name to confirm, so it's hard to do by mistake.
What about SEND and other sensitive records?
SEND records are visible to managers only, with an on-screen reminder that they're special-category personal data. Photos, medical notes and accident records are stored privately within your business and never shared between tenants.
Do I need to register with the ICO?
Yes. Every UK childminder handling parents' and children's personal records needs to be registered with the Information Commissioner's Office as a data controller. We handle your data securely on your behalf, but the ICO registration is yours.
Is it Ofsted-aligned?
Records cover EYFS observations, attendance, medical notes, accidents, contracts, policies and risk assessments. The PDF exports — including the per-child learning journal — are designed to be evidence-ready.
Can I cancel — and get my data out?
Yes, any time. Learning journals, contracts and invoices all export to PDF whenever you need them, and we'll provide a full export of your records before closing your account so nothing is lost.
